Night Shift Schedule Maker

Cover the overnight without wearing anyone down — set night blocks, watch the run of consecutive nights, and print.

Pick a rotation and Auto-fill to assign each person to a crew (A/B/C/D) on a real pattern — or click any cell to set it by hand (it cycles through your shift types, then Off, then blank). Day-off templates can mark weekends, Sundays, or US federal holidays off for the whole team in one step, and the week-copy tools help you roll a finished 7-day rota forward without re-clicking every cell.

Which shift pattern should night teams choose?

Night-heavy schedules are usually a balance between keeping crews fixed and spreading fatigue more evenly.

PatternCycleShift lengthBest when
7 On 7 Off14 days12 hoursBest when a fixed day or night crew wants long off blocks and can tolerate a heavy seven-shift run.
2-2-314 days12 hoursBest all-rounder for four-crew 24/7 teams that want frequent breaks and no more than three shifts in a row.
4-on-4-off8 days12 hoursBest when longer uninterrupted blocks off matter more than keeping work stretches short.

Use the page-level maker above when you want to assign shifts by hand. Use one of the pattern generators when you want a rota that repeats cleanly and is easier to share, print, and explain to the team.

Planning around the night shift

The night shift is the hardest to staff well because it runs against the body clock. Two rules keep it humane: cap how many nights someone works in a row — three to four is a common ceiling — and give a real recovery day after a run of nights, not just a single sleep. Coverage still comes first, so fill the overnight slots before you tidy the edges.

Fixed nights or rotating nights

Some people prefer permanent nights and build their whole routine around it; others rotate through so the load is shared. Fixed nights are steadier for sleep but can cut staff off from the day team; rotation spreads the burden but never lets anyone fully adjust. If you rotate, going forward (evening then night) is gentler than jumping straight onto nights. The rotating patterns guide covers cycles that include nights.

Build a night rota

The grid above defaults to an evening and an overnight block. Add your people, click cells to assign nights and recovery days, and use auto-fill for a rotation you can then tune. When it reads right, print it for the wall or export a CSV for your records. For 12-hour overnight blocks, switch to the 12-hour maker.

Make overnight coverage readable and resilient

Begin by identifying the work that must happen overnight, the person responsible for each essential decision, and the tasks that the incoming day team must receive. A night roster should make the shift boundary and handover route clear, particularly where the day and night teams do not overlap.

Choose fixed or rotating nights deliberately. A fixed plan can be easier for a team to recognise, while a rotation may distribute less popular work. Either approach needs a confirmed reference date, clear block times, and a check of actual availability. Use local policy and team agreements to determine limits, rest, and staffing requirements.

Before publishing, check consecutive assignments, approved leave, training, and the relief plan for a late absence. Keep one dated version of the schedule and show swaps as approved exceptions. The goal is for the overnight team to know who is present, who leads, and where to find the current information without relying on a chat message.

Frequently asked questions

How many night shifts in a row is too many?

Most guidance caps consecutive night shifts at three to four, followed by a proper recovery period, to limit fatigue and error.

Should night shifts be fixed or rotating?

Both work. Fixed nights are easier on sleep once adjusted; rotating shares the load. If rotating, rotate forward — evening then night — for better rest.
