A weekly schedule is seven day-columns against a row per person, with each cell holding a shift block. Most teams run two to four blocks — a morning/open, a mid or day, and an evening/close — plus clearly marked days off so the week reads at a glance.

A weekly scheduling method that holds up after the first draft
Treat the blank weekly grid as the final publishing view, not the place where you solve every staffing decision. First write down the minimum role coverage for each shift: for example, one opener, one trained closer, and enough people for the busiest service window. Then enter approved leave, training, deliveries, and known events before assigning regular work. This separates a genuine coverage requirement from a preference, and makes it much easier to explain why a shift needs an adjustment.
Next, make a quick row-by-row fairness pass. Count total hours, closing shifts, weekends, and any short turnarounds between one shift ending and the next beginning. Equal hours are not the only measure of a fair rota: a person who has requested extra work may appropriately have more hours, while an employee with a fixed availability needs a different balance. The useful test is whether the rule is visible and applied consistently across the team.
Before you publish, read the calendar by shift rather than by employee. Ask who opens, who can make a required decision, who has the necessary skill, and what happens if one person calls out. Add a version date to the printed or shared copy and keep one authoritative schedule. If a swap is approved later, update that source first, then re-share it. This small change-control step prevents a wall copy, spreadsheet, and group message from quietly disagreeing.
