If you are templating a roster in a spreadsheet, simpler repeating patterns are usually easier to maintain month after month.

What is in the Excel template

The free weekly and monthly templates come pre-built: a row per employee, day columns, a shift key (M / D / E / N / O), and a Total Hours column that adds up automatically from the codes you type. Drop-downs in each cell keep entries consistent.

How to use it

Open the file, type a shift code in each cell (M for morning, N for night, and so on), and the hours total themselves. Print directly from Excel, or use the printable PDF if you want a blank sheet to fill in by hand.

Excel vs. the online maker

Excel is worth it when you need to calculate on top of the roster — summing hours, flagging overtime, feeding payroll. If you just need to assign shifts and print, the online maker is faster. Many teams do both: plan online, export CSV, crunch numbers in Excel. More in the Excel vs online guide.

Keep an Excel roster controlled after it leaves the template

Before editing the template, define a short shift key that everyone understands and keep it consistent. Use clear labels and times, then verify that the total-hours formula matches the values your site intends to count. A spreadsheet can calculate quickly, but it will also repeat an incorrect assumption across every row if the key is unclear.

Avoid uncontrolled copies. Keep one editable master, give the published version a date, and decide who can alter formulas, shift codes, or employee details. Exporting a PDF for a noticeboard separates the readable staff copy from the working spreadsheet, while a CSV can be used for a separate review where appropriate.

Review the spreadsheet by shift and by employee. The first check finds coverage gaps and missing roles; the second finds uneven hours, closes, weekends, or short turnarounds. If the calendar changes after publication, update the master and reissue the current copy instead of asking staff to reconcile several attachments.
