Scheduling a restaurant is a coverage puzzle
Restaurants live and die on peak coverage: the Friday dinner rush needs full FOH and BOH, while a slow Tuesday lunch does not. Build your busy dayparts first, then trim the quiet ones — overstaffing a slow shift costs as much as understaffing a busy one.
Roles on one readable grid
Put servers, line cooks, hosts, and bar on the same sheet so you can see gaps by station. The default open / mid / close shifts match how most kitchens actually run; edit the times to fit your service.
From the grid to the floor
Once coverage looks right, print it for the pass and the break room so every station reads the same sheet, or export a CSV for your POS or payroll. Watch how many people you have on during slow blocks — trimming one over-staffed mid shift a day adds up fast on a thin restaurant margin. Posting the roster a week out also cuts the last-minute call-arounds that eat a manager's day.
Plan the restaurant roster around service, not equal-looking shifts
Build the busiest service window first. Identify the stations that must be covered at open, during the peak, and at close: host, bar, sections on the floor, kitchen stations, and a responsible lead. Reservations, events, deliveries, and expected covers should be visible before the quiet hours are filled. A balanced-looking grid is not useful if the dinner rush has the wrong mix of people.
Keep opening and closing responsibilities explicit. The person who has keys, can receive a delivery, close a till, or resolve a service problem needs to be named, and there should be a backup where the operation requires one. Show close-down time honestly instead of treating the final guest departure as the end of the shift.
Review closes, weekend work, split shifts, and high-pressure stations over several weeks. Availability and voluntary preferences can create legitimate differences, but they should be recorded as visible rules. Publish one current rota and require approved swaps to be reflected in it before service begins.
